How GTDF Optimized Hotel Processes into a Unified System with SMART Localization

In October 2016, the Georgian Tourism Development Fund was established at the initiative of the Georgian Co-Investment Fund, which aims to attract investments in the tourism sector and support projects important for the country’s economic development. The fund’s task is to support long-term and large-scale projects to attract tourists and position Georgia on the world tourism map.

In the hotel industry, it is important to implement the right business processes, which requires the presence of appropriate systems. The GTDF team began searching for a product that would cover their unique business needs. The main goal of this process was to select a system where each employee would be able to fulfill their role. The approach was as follows: each person who is involved in the company’s processes in any way, performs the work performed by him, should be reflected in the system accordingly.

Among the solutions available on the market, Business Central stood out. As a result of active negotiations with several companies, the fund finally decided in favor of SMART business. One of the main selection criteria in choosing a digital transformation partner was experience, a high sense of responsibility and reliability. At the negotiation stage, the professionalism of the SMART business team and the high qualification of its employees had a great influence on the decision-making process. The team was international, consisting of both Georgian and Ukrainian analysts and developers. Professionals with successful implementation experience in various industries were well versed in financial reporting standards and budget tax issues. However, the decisive role in the selection process was played by readiness for change, which was especially evident in terms of functionality development.

Smart solutions to the challenges of managing diverse project workflows

Before the implementation of the program, communication in the company was mainly carried out through emails and internal orders, for example, the processes of purchasing, transfers and salary confirmation. These cycles were replaced by solutions created on the basis of Business Central – SMART Localization (SMART Accounting) and SMART Payroll. At the analysis stage, it was determined that the standard functionality of the solution only partially met the needs of the fund, however, during the implementation process, new functions were added to the system, which made the processes more flexible and tailored to the client’s needs.

For the successful implementation of the project, GTDF allocated personnel from the finance department responsible for the implementation of the system. They determined the necessary criteria taking into account the specifics of the hotel and shared their vision of process optimization with the SMART business team. As a result, the main goal – to fulfill the role of all employees in a single system – was successfully achieved. 

Realizing efficiency and accuracy from fragmentation to integration

During the project, in order to meet the client’s needs, the need to add various development components was identified, which turned out to be a challenging and responsible task. In this process, along with expanding the functionality of the system, it became necessary to ensure special readiness and involvement of employees. However, the SMART business team, in close cooperation with the client, implemented all the necessary changes in a timely and effective manner, which ensured the successful involvement of all departments of the company in the process.

The SMART business team, with the active involvement of highly qualified specialists from all modules and in close cooperation with the client, carried out an in-depth analysis of the processes. Based on the conclusions obtained, we performed the necessary configurations and changes to the system. As a result, an excellent result was achieved, which fully met the client’s requirements and ensured process optimization

As a result of the project, significant improvements were made to the organization’s operations. Key achievements include:

  • Strengthening financial management,
  • Improved sales and procurement management capabilities,
  • Simplified budget processes,
  • Effective cash flow management,
  • Implementation of robust tax management systems,
  • Automation of invoice calculation and payments.

The implementation of SMART Accounting also led to effective management of fixed assets, purchases and revenue receivables. The integrated complex reporting and analytics tools within the project contribute to improving asset and property maintenance processes. In addition, payroll management and related reporting have been optimized.

All this provided GTDF with a significant increase in operational efficiency, compliance and flexibility, which is a strong foundation for successful steps in new business ventures.

When adding new functionality, the partner company promptly responded to all challenges and was fully involved in the process. One example is the first payroll accrual in the system, where, despite different specifications and challenges, with the operational support of the highly qualified SMART business team, the ultimate goal – to complete the process correctly and successfully – was perfectly achieved.

Today, each employee working in the program has thoroughly studied their own workspace and effectively performs their assigned duties. This process pleasantly surprised the GTDF team, as the employees showed themselves not only with their professional abilities, but also with their ability to accept innovations and adapt.

The main challenge of implementing a new system is the readiness for change, both from the management and from each employee, who must have a well-understood company goal. If the goal is to implement the right process and a professional attitude towards the work, this decision is ideal. In our case, there was full readiness for these changes and the result was set accordingly. As for the SMART business team, it really deserves praise. It is worth noting their quick response to any problem, readiness for changes. Easy communication, both with consultants and with management. Future Vision: Continuing to Grow Through Innovation

Built on the successful implementation of SMART Accounting and Payroll, GTDF plans to expand its use of Microsoft Dynamics 365 Business Central to future projects, including the development of new hotels and tourism facilities. Future enhancements include the implementation of SMART Payroll and the optimization of procurement processes, which will place scalability and innovation at the heart of GTDF’s strategy.
